Having an effective rate plan is essential for hotels. Rate plans help you to maximise revenue during slower seasons, allow you to provide more pricing options for your guests, and keep your property competitive in your market.

How to update my availability

If you are connected to a Channel Manager or you have an integration with you Property Management System (PMS), you can update your availability on the corresponding platform and it will automatically sync. If not, log into our Hotel Extranet and follow the steps below:

Go to Inventory section
Click on Edit Availability
Look for it on the right side of your page at Rates & Availability.
  
Make your changes
Update the availability for the corresponding room type, rate type, and application days.
Save your changes
Make sure you apply them to the correct number of Available Rooms and Release days.

How to update my rates

Look for it on the right side of your page at Rates & Availability. 
Make your changes
Modify your rates for the corresponding period, room type, rate type, and application days.
Save your changes
Make sure you apply them to the correct number of Available Rooms and Release days.

How to create a new rate plan

TIP: One of the most effective ways to attract early bookings is by offering non-refundable rates (NRF). They are especially effective at incentivising price-conscious guests to book further in advance.

If you don’t have the Add new rate button available or you need to create a type of rate plan that is not available on this page (i.e. FIT), please contact your Contract Manager.

Go to Inventory section
Click on Rate List
Look for it at the right top of the screen.
Click on Add new rate
Look for it at the right top of the screen.
Fill your new rate details
Make sure you get a success message on the top-right corner.

How to apply stop/open sales

If you are connected to a Channel Manager or you have an integration with your Property Management System (PMS) you can stop/open sales by updating your availability on the corresponding platform and it will sync automatically. If not, log into MaxiRoom and follow the steps below.

Go to Inventory section
Click on Open/Close availability
Open or close availability for the corresponding period, room type, rate type and application days.
Save your changes
Remember to update your availability as soon as the situation changes.

In case of any special agreement managed by our Contract Manager, you will need to send an email to updates@hotelbeds.com to have the stop/open sales applied.

How to add rooms to your rate plans

In order to distribute your rooms, please note that it is necessary to link them to any of your rates. Follow the next steps to add your rooms to your rate plans:

Dynamic Rates (BAR)
Your daily Best Available Rate (BAR).
Get exposure on final selling channels.
Static Rates (FIT)
Seasonal NET rates.

Reduced Dynamic or Static/FIT rates.

Special rate plan for Tour Operators or Airline Packages.

Go to Inventory section and click on Rate list
Click on the Rooms button
Find it on the corresponding rate plan you want to add you rooms to.
Assign your Rooms
From the dropdown menu, select the rooms you want to sell through that specific rate plan.

Inform availability and rates for your room
You can do so from the "Edit price" and "Edit availability" menus.

How to create a new room

Everytime you need to create a new room in the Partner Extranet, you will need to follow the next steps:

Go to the Hotel Info page
Click on Rooms
Scroll down to the bottom of the page.
In the Create new room option click on +

Once the New Room screen is displayed, fill in the blank fields with the details of your room and its characteristics:

Select the room type and characteristic to create
From the dropdown menu, choose the most similar to your hotel room.
Fill in the Room Name
Name it as you sell it on your hotel website so your potential clients can easily meet & match.
Inform your Room Code 
Use the same code you have in your Hotel Management System or in your Channel Manager platform.
Complete your Room Capacity

Please bear in mind that all rooms must be included in a rate plan in order to to be distributed. When creating a new room, it will be necessary to link to any of your rates.  See how in the next section How to add rooms to your rate plans.

Understanding room capacities

Standard Capacity
The system will use this capacity to establish rates per room and any adult included in the standard capacity will not pay supplements for the Extra Bed. If the Maximum Capacity is higher than the Standard, then you can add occupancy supplements such as children and/or adults.
Minimum Room Capacity
The minimum number of people required to book a room. 
Maximum Room Capacity
The maximum number of people the room can accommodate, including adults, children, and babies (if there are babies in the room, they are included in the maximum occupancy).
Maximum Adults
The maximum number of adults per room. Everyone over the End age shown in the contract header is considered an adult.
Minimum Adult
It specifies the minimum number of adults required in the room.
Maximum Children
The maximum number of children allowed in the roo. The system considers everyone between the Start age and End age as a child. 
Maximum Babies
The maximum number of babies allowed in a room. Baby is defined as anyone under the Start age in the contract header. e.g.: A value of 0 means the hotel does not distinguish between children and babies. 

Please bear in mind that all rooms must be included in a Rate Plan in order to be distributed. When creating a new room, it will be necessary to link to any of your rates.  

How to check your contract agreement

Go to the Inventory section
Click on Rate List
Scroll down to the bottom of the page.
Click on the Printer button
Look for it at the corresponding rate you wish to check

Download your contract
Select your dates and click on Apply

How to check my rate plan details

You can check all your rate plan details, such as Base Board,  Rate Type, Commissions, Currency, and others by following the next steps:  

Go to Inventory section
Select Rate List 
Look for it at the Rates & Availability menu.
  
Click on See Details
A pop-up window will open with all your rate plan details.
